This notice explains how we use personal data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who is responsible for your data?

WonderPriceAI is operated by Fairware Limited (company number 12792045), trading as WonderPriceAI, of 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ. You can contact us about privacy at privacy@fairware.co.

We decide how personal data is used to run accounts, receive enquiries and provide our service. If an organisation uploads documents containing other people's personal data and instructs us to process those documents for its own purposes, that organisation may be the controller and we may act as its processor under our applicable agreement.

What information do we collect?

• Contact and account information: your name, work email, organisation, login details and messages to us.
• Information you submit: price-chat requests, material specifications, dimensions, BoQ or spreadsheet files, notes, delivery postcode, supplier quote PDFs and your choices about trade or retail prices and VAT.
• Results and activity: generated estimates and downloads, product and quote comparisons, extracted quote lines, questions and responses, account activity and support communications.
• Technical information: device/browser details, IP address, security and service logs, and any cookies or similar technologies described below.

Please avoid including personal, sensitive or confidential information in a request or file unless it is needed for your project. If your BoQ contains information about other people, make sure you are authorised to share it with us.

How do we use it, and on what basis?

The contact and project details marked as required on our forms are needed to respond or produce a location-aware result. If you choose to ignore delivery location, we can still produce a result, but local availability and proximity may not be considered.

AI, supplier information and human review

We use AI to help interpret language and supported document lines. Defined construction and purchasing logic calculates quantities and order implications. We may allow authorised team members to access a submitted BoQ and its draft results to resolve uncertainty, check a result or provide support. AI outputs and supplier listings need your review: you make any final specification and purchasing decisions.

AI processing: We use a specialist AI service provider to help interpret supported requests, BoQ lines and supplier quote PDFs.

Who receives the information?

Access is limited to authorised WonderPriceAI personnel and contracted providers who help us store files, host the service, process requests, send email, secure the platform and provide AI features. These include a cloud file storage provider and an AI processing provider. We use supplier product and pricing information to prepare comparisons. Supplier sharing of BoQs: We do not share your uploaded BoQ with suppliers. If you follow a supplier product link, the supplier's own website and privacy terms apply. We may disclose information when required by law.

Where is it stored, and for how long?

We keep BoQ files and the reviews we return while needed to prepare the review and respond to follow-up questions; account information while your account is active and while processing its deletion; chats and generated results while needed to provide and support the service; and security logs while needed to protect it. We may keep limited information longer where needed to comply with law or resolve a dispute. Deleted information may remain in backups until they are overwritten on the backup cycle.

Uploaded BoQ files are stored in the UK with our cloud file storage provider. A specialist AI service provider helps us interpret supported requests and BoQ lines. Contact us at privacy@fairware.co for details of where your data is processed.

Your rights under UK GDPR

Depending on the circumstances, you may ask to access, correct or erase your personal data, or to restrict or transfer it. You can object to processing based on legitimate interests, including direct marketing. Where we rely on consent, you can withdraw it at any time. Email privacy@fairware.co; we may need to verify your identity. These rights have legal exceptions. You can also complain to the UK Information Commissioner's Office.

Cookies and contact

Essential cookies may be used to keep the site secure and working. We do not currently use analytics or marketing cookies. If this changes, we will explain their use and ask for consent where required. For privacy questions or deletion requests, email privacy@fairware.co.

How we handle your BoQ

Upload an Excel or CSV BoQ, add your contact details and choose how prices should be shown. A delivery postcode helps us consider availability and proximity; you can choose Ignore location if those factors do not matter to this review.

WonderPriceAI identifies supported lines, structures relevant quantities and specifications and uses available supplier data to price matches. We flag anything uncertain or unsupported. Authorised team members may review the file and results before the review is returned by email. You can check the linked products, pricing basis, assumptions and quantities before deciding what to do next. No account or payment card is needed to send a BoQ for review.

1. About the service

WonderPriceAI is provided by Fairware Limited (company number 12792045), of 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ (“we”, “us”). Contact hello@fairware.co. These terms apply when you access our site, use a calculator or price chat, upload a BoQ, or receive a result.

2. What the results cover

The service assists with supported residential construction materials and assemblies, allows you to add your own labour costs and margin to supported assemblies, and helps compare supported supplier quote PDFs. We may interpret descriptions, BoQ lines and quote lines; calculate estimated material quantities and buying amounts; and display supplier-linked products and prices where data is available. Labour costs you enter are shown separately and depend on your assumptions. Some lines, build-ups or documents may be unsupported or require clarification. Quote comparisons reflect the documents uploaded and may omit unclear items. Results are estimates based on the inputs, rules and supplier information available at the time shown.

3. Your decisions and supplier purchases

Before relying on a result, check the material specification, suitability, quantities, waste, pack size, minimum order, supplier stock, postcode, VAT basis, delivery charges, user-entered labour assumptions and current price. For quote comparisons, check each original PDF, line scope, exclusions, VAT and delivery terms. Delivery charges and account-specific discounts are excluded unless a result says otherwise. A supplier may change its price or availability. We do not place orders, choose a supplier for you or act as a payment intermediary. If you buy from a supplier, your transaction is with that supplier under its terms. Nothing in the service replaces appropriate professional design, specification, structural, fire, acoustic or regulatory checks.

4. Your files and permission to process them

You keep ownership of what you submit. You confirm that you have the right to submit it, including any confidential or personal information it contains. You give us permission to store and process your submission as needed to provide the requested service, return your result, keep the service secure and meet our legal obligations, as explained in Privacy & data handling. This permission does not transfer ownership of your file to us.

5. Accounts and acceptable use

If you create an account, keep your login secure and use the service only with authority from your organisation where relevant. Do not upload unlawful content, try to access another user's information, disrupt the service or use automated access that exceeds the limits we communicate. Contact us promptly if you think your account has been compromised.

6. Free and paid access

We do not currently offer paid subscriptions. Any limits on free use are shown before sign-up. If we introduce paid plans, we will show the price, billing period, tax treatment and cancellation terms before you choose to subscribe.

7. Availability, changes and intellectual property

We may update supported products, sources and features and occasionally suspend access for maintenance, security or technical reasons. We will give reasonable notice of material changes where practical. The WonderPriceAI software, design and branding belong to us or our licensors; supplier product information remains subject to its owners' rights. You may use and share results for your own legitimate project work, subject to any supplier rights shown in a result.

8. Responsibility and liability

We take reasonable care in operating the service, but a result may be incomplete or out of date and must be checked before a purchasing or compliance decision. Nothing in these terms limits a right or liability that cannot lawfully be excluded, including liability for fraud or for death or personal injury caused by negligence.

9. Ending use, changes and disputes

You may stop using the service and request account deletion at hello@fairware.co, subject to records we must retain. We may restrict access for serious misuse and explain our decision where appropriate. We will publish an updated date when these terms change and give notice of material changes where required. These terms are governed by the laws of England and Wales. The courts of England and Wales have non-exclusive jurisdiction over disputes. This does not restrict any right a consumer has to bring proceedings in the courts where they live or to rely on mandatory protections under applicable law.
